MICROSOFT OFFICE AND I

-: MICROSOFT OFFICE-2007 AND I:-


I am working with a US based NGO of NRIs called Foundation for Excellence. For more than one decade it is working for the higher study of poor and meritorious student in INDIA.

I am a facilitator in that organization for last seven years and working for my state Orissa. My nature of work is to create awareness among the student and facilitate them with financial aid for their higher study. Most of the time I have to communicate with their parents and principal of their respective colleges through letters, e-mails and telephonic conversations .Time to time I have to update the ground reality to the Director or the programmed coordinator .for my activities MICROSOFT OFFICE 2007 is a helping tool. I can write guidelines &letters through ms –word. Taking the entries of marks and different data applicants in work sheet of ms –excel. Later I can analyze the data and take the decision. Some times for the presentation purpose I use MS PowerPoint.

There are many software, software and software but when we come to using the computer and a single software can do everything for you, the choice mostly MICROSOFT OFFICE. This is n to software but a combination of software which can perform various aspects of your office routines.It can be writing letters, maintaining accounts, keeping data base, making a presentation etc. This Microsoft office has a solution of everything .MS OFFICE 2007 software package consists of MS WORD 2007,MS EXCEL2007, MS ACCESS 2007,MS POWERPOINT 2007, MS OUTLOOK 2007,Ms PUBLISHER 2007, MS ONE NOTE 2007 ,MAS INFOPATH 2007 and MS GROOVE 2007 but I mostly u8se MS WORD, MS EXCEL<MS POWERPOINT for my work .

MS WORD 2007

IMPORTANT FEATURES OF MS WORD:-

1. Using MSWORD 2007 we can create a document and edit them as and when required by modifying existing text or by adding more text, deleting /moving some portion of it.

2. We can change the size of margins and reformat cfomplete4 document or part of the text if necessary.

3. MS WORD gives us option of placing the text in four different alignments such as left, right, centralized, justified.

4. We can use same font for whole text or can change the font and its size for different paragraph/ line /words.

5. Word 2007 points out spelling errors by under lining the word the word with red wavy line. THERE are two methods of correcting these errors. One method is to correct the errors one by one, secondly we spell check the whole document. Correction can be made through auto correct option automatically.

6. It allows us to highlight headlines, caption and other text of import ants by applying a border or shading to that text. We can select a color to apply to the border.

7. We have the print option to print the document under the file menu.

8. It facilitated many editing function through various tools such as cut, copy, paste, move, insert mode, over type mode, delete, undo and redo.

9. It has excellent option called find and replace. Once you give this command system will automatically search the word and replace it appropriate word.

10. In case of a do0cument having N number of phrases we can set up page numbering, header and footer , foot note and end notes and the documents.

11. We can split document window into two panes to display different portion s of the same document at the same time. It makes easier to move or copy text from one portion of document to another.

12. I t can display two or more document at the same time by tiling. It is easier to compare two or more documents or to move and copy text from document to another.

13. WORD 2007 also provide male –merge facility.

14. We can insert symbols, pictures, design the word, lay out the pages and change the back ground of pages in word 2007.

15. Chart and table can be made and included in appropriate place of the text.

16. Word allows inserting graphical picture in the text. Graphical picture may be created in word itself or may be imported from outside like clip art gallery.

17. Word facilitated zoom option in five categories such as zoom, 100%, 1 page, 2 pages, page width.

18. We can save the file by any name so that it is easier to trace the file from a system.

19. Word 2007 facilitated online help of any option.



MS EXCEL 2007

IMPORTANT FEATURE OF MS EXCEL:-

MS EXCEL is mostly used in financial sectors. it can be customized in a way that suit us to achieve our goal.. Some of the important feature of MS EXCEL is as follows

1. A MS EXCEL document is called a work book. Each workbook contains sixteen worksheet by default. We can change this number by resetting the default option.

2. Worksheets have rows, columns and cells. ROWS-these are the horizontal cell which can contain any information. COLUMNS-these are vertical cells which can also contain information. CELLS-it is the interaction of arrow with a column. Each cell is identified with its position .

3. We can perform much type of entries in a cell. We can enter text, number, data, and time in a cell.

4. Entering data in series: we can fill a range of cells either of same value or with series of value. This can be done using auto fill handle.

5. MS-EXCEL allows fast searching and instant replacing of data. To search or replace the data entered, we can use the find and replace command from edit menu.

6. MS EXCEL provides the facility to insert or delete rows and columns in the existing worksheet. Inserting arrow or column automatically remove the last row and column from the worksheet, because the total number of rows and columns remain the same in any case..

7. MS EXCEL provides several formatting features to enhance the appearanceof the data which is presented in the worksheets. It allows setting up page before printing.

8. It provides the auto fit selection that adjusts the width of the column according to the widest entry of the row and column. We can hide and unhide some rows and columns.

9. It allows us to align the character in cells in different ways.

10. It allows a facility of viewing the same worksheet simultaneously in more than one window.

11. When we works with a large worksheet ,to overcome the problem we can split the active window into two with row &column heading in one window and data in other window.

12. FUNCTION AND FORMULAS: - In built formulas are called function.MS EXCEL facilitate analyzing data by using different function. We can easily calculate percentage, interest, average etc by using built in function. But formulas are widely used in simple computing (such as addition, subtraction, division,& multiplication ) and advance computing. They provide the power to analyses data extensively.

13. We can copy and paste the formula from one side to another.

14. In EXCEL formulas that make decisions. When we want EXCEL to carry out one task under certain circumstances and other tasks if those circumstances do not apply we have similar IF function in EXCEL like any programming language. For example =IF (B2>1000, TRUE, FALSE)

15. Auto Calculation:- MS EXCEL worksheet allows us to automatically recalculate the whole worksheet every time a change made in a single cell.

16. In EXCEL we can apply a document theme, customize a document theme, customize the theme color, customize theme fonts, add and remove a sheet back ground.

17. CHARTS:- MS EXCEL allows us to view data entered a stable in a graphical form as chart which help us to analyze and compare the data. It can be two dimensional charts and three dimensional charts. It may be graph, bar diagram and pie diagram.

MS POWERPOINT 2007

MS POWERPOINT is a software application that has replaced 35mm slide show of the past. We can create this presentation tool by creating a series of horizontally formatted slides. Power point can be used by any one.

IMPORTANT FEATURES OF POWERPOINT:-

1. In MS POWERPOINT 2007, we can choose presentation slides from templates or can create a new one.

2. Each slide is created by putting number of “placeholders” on each slide. These placeholders can be formatted to any size and hold either text or graphics.

3. Then we can add “special effects” for each slide. Such as fly INS, fly outs etc to add interest and sizzle to the presentation.

4. We can add video and audio effect in these slides.

5. When we use power point, it is important to remember that the slide show is a presentation tool not the presentation itself. So we have to learn how to use this application.

6. Power point includes a library of simple animated cartoons that we can place on a slide for added visual emphasis.

7. We can duplicate selected slides in slide sorter view and see the effect on the flow of slide immediately.

8. We can change the order of the slide.

9. We can move the text, change the color of the text, and change the slide background picture.

10. Power point can hide a slide. Which lets us keep our slide but not display during a presentation

The use of power point seem to be endless

This is all about my experience with MICRO-SOFT OFFICE 2007 during last five year. Hope everybody have a nice experience with MS-OFFICE 2007 like me.
